Summary:
 
The Finance Administrative Associate is a member of the PATH Family of Agencies Finance and Accounting team, which provides financial support primarily for PATH and PATH Ventures (PV), as well as for several smaller entities. The Finance team is responsible for all financial activities at PATH, which include but are not limited to accounting, accounts payable and receivable, fiscal grants management, budgeting, cash management, and payroll and benefits allocations. This position will have a primary job focus but may be called upon to perform other administrative and/or fiscal functions as needed.

The Finance Administrative Associate is responsible for performing standard administrative and clerical functions as well as providing support for various finance department activities.  The ideal candidate will have excellent organizational, communication, and interpersonal skills, and some experience working in a finance function.  He/she must be comfortable with tasks ranging from the mundane (eg. copying, filing) to the detailed (eg. data entry) to the analytical (eg. spreadsheets).  He/she must be comfortable with multi-tasking and keeping track of multiple projects and deliverables.
 
PATH is a non-profit provider of shelter and supportive services for the homeless with locations throughout Southern California, Santa Barbara, and San Jose.  We primarily serve veterans, families, and the chronically homeless, with funding from government agencies, foundations, and individuals.  PATH Ventures (PV) is a non-profit developer and owner (through limited partnerships) of permanent supportive housing with projects located throughout Southern California, and also provides supportive services for several communities. 
 
Responsibilities:

  • Perform general administrative and clerical duties such as copying, filing, opening and stamping mail, obtaining check signatures, organizing financial papers, etc.
  • Assist with internal and external communications
  • Assist accounts payable with reviewing invoice supporting documentation, maintaining payables tracking spreadsheets, vendor communications, and occasional data entry.
  • Assist grant accounting with basic grant invoice preparation and occasional data entry.
  • Create and maintain a finance department deliverables calendar, and assist in making sure all due dates are met.
  • Develop and maintain various Finance Department spreadsheets
  • Provide support for other tasks within the Finance Department as needed
 
Qualifications:
  • Bachelor’s level or equivalent, one to three years related experience, or equivalent combination of education and experience
  • Bookkeeping or accounts payable experience a plus.  Accounting courses or degree a plus.
  • Excellent Excel skills, plus the ability to create and use financial spreadsheets.
  • Excellent verbal and written communication skills
  • Demonstrated ability to use computers and proficient in Microsoft Office
  • Possess strong written and verbal communication skills, interpersonal skills, and ability to work both individually and as part of a team
  • Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow
  • Ability to work on multiple projects simultaneously in a high-pressure and time sensitive environment
  • Must maintain and execute confidential information
  • Ability to interact with diverse clientele and to deal effectively with a diversity of individuals at all organizational levels
  • Project a professional demeanor
  • Ability to work independently

Work Environment
The employee may be in contact with individuals and families in crisis who may be ill, using alcohol and drugs, and who may not be attentive to basic personal hygiene, health and safety practices. The employee may experience a number of unpleasant sensory demands associated with the client’s use of alcohol and drugs, and lack of personal hygiene. The employee must be ready to respond quickly and effectively to many types of situations, including crisis situations and potentially hostile situations. The noise level in the work environment is usually moderate in an office setting. Sometimes work may become stressful when working under pressure.
